How do I add new users to Onboard?
To add a new user you will need to have Admin permissions:
1. On the User Management page
2. Complete the name and email address for the new user. Please ensure 'MS Entra ID / ADFS Account' remains defaulted to NO unless your environment has had single sign on configured.
3. Click the “Add User” button to send an invite to the user.
a. The user will receive an email invite to your KYC360 organisation and will be required to provide a password for their account before they can access the system.
b. You can resend the invite email by clicking the “Resend” button next to the user's name in the Pending Invitations section.
How do I remove users from Onboard?
Firstly, enter the user management page:
Here, you will see the option to 'manage users'. The 'Enabled' field, will point to whether a user's account is active or not. The above screenshot demonstrates a user account that has been deactivated. If you would like to remove a user's account, you should click 'disable':
What happens if I delete a user that a prospect is assigned to?
You will not be able to delete a user if it still has prospects assigned to it, hence why we follow a disable/enabling process when managing users within our platform.
Disabling a user means that their records of activity are retained within your platform. If a deletion of a user is specifically required, the existing prospects assigned to the user would need to be reassigned to another specified user by a supervisor/admin can reassign within the platform
Is there a limit to how many users I can have?
How can I change the permissions of my users?
The idea of the group memberships is to allow for different permissions for different users. Each user group can have altered permissions, which is good to control what users can access etc. I'll show you how to define permissions for a user group below:
First, you'll need your internal admin user to go to the 'Settings' and then into 'Group Management’:
When clicking into a user group, you will see the below fields:
Here, you can choose the level of access you want for the user in the group, you should start off by 'adding' them to the group. By default, a handler user will have access to their own work, and a supervisor will have access to all users work within the user group.
Why has my users account been locked?
When incorrect credentials are entered a number of times while attempting to login to the system, you'll receive an initial lockout of the account for 30 minutes.
If incorrect credentials are then entered again, this will then increase the lockout to 60 minutes etc.
Please can the user wait for the initial 30 minutes time period to elapse and reset the password and try logging in again.
